How to Keep One Event Plan Current as Dates, Speakers, and Venue Change

An event plan is a network of dependent decisions
A venue change can alter the date, travel, capacity, speaker availability, catering, and production requirements. If each update lives in a different chat or document, the plan becomes a set of plausible versions rather than one current event.
Map the event around dependencies:
- date and venue;
- speakers and sessions;
- travel and accommodation;
- production requirements;
- unresolved approvals.
When one item changes, review the items connected to it.
Use status labels that mean something
Every important item should be one of four things:
- Current and confirmed
- Current but provisional
- Decided and waiting for execution
- Open question
“Venue A” without a status is ambiguous. “Venue A — provisional, contract pending” is actionable.
How Giraffe keeps the event readable
Giraffe provides a Project for the conclusions worth keeping from AI work. An organizer can explicitly save current dates and venue details, decisions about speakers or format, open production questions, and useful notes.
If the venue changes, the organizer updates the same Project. The new venue becomes current, the decision explains why, and the earlier value can remain in dated history. Giraffe does not contact speakers, book the venue, or capture every planning conversation automatically.
The Project becomes the current-state layer behind the operational tools used to execute the event.
Example: a venue change
A conference moves from Venue A to Venue B because the original room cannot support the revised audience size.
Update:
- Current: Venue B, capacity 420.
- Decision: Move venue to support revised attendance.
- Replaced: Venue A, capacity 250.
- Open questions: revised catering quote; speaker transport; production load-in time.
This one change generates three follow-up questions. Keeping them beside the decision prevents the new venue from appearing “finished” when work remains.
Run a dependency review after every major change
Ask:
- Which confirmed items are now invalid?
- Which decisions need to be revisited?
- Which vendors or participants need an update?
- Which new question could block the event?
Then update the current plan, not a new parallel summary.
Give every open item an owner
An open question without an owner easily survives until the event. For each unresolved item, record who will answer it and when the answer is needed. “Confirm revised catering quote — owner: Maya — due Tuesday” is materially more useful than “catering?”
Giraffe can keep that question readable with the rest of the Project, while the organizer remains responsible for obtaining the answer and executing the work. When the question is resolved, update the current event state so the answer does not remain trapped in another message.
One event, one current state
The value of a maintained event Project is not remembering every option. It is knowing which date, venue, speakers, and unresolved items govern the event today.
